Administrator – Remote

The purpose of this new role is to be responsible for executive operational administration. To support the day-to-day management and development of administration ensuring that an excellent service is delivered and always maintained.

Our parent company and Shared Service functions are based in Australia so flexible working hours will be required to accommodate time zone differences.

Key Accountabilities

• Oversee the delivery of a range of administrative services, working within existing systems and processes to maximise service quality and continuity.

• Responsible for the continuous development and improvement of the administrative service. Identify gaps or shortfalls in service delivery, working methods and practices. Propose, develop, and implement changes, providing efficiencies to effect improvement, consulting with colleagues.

• Set and monitor service objectives and standards within own area of work to maximise service quality and efficiency.

• Independently resolve sensitive or complex issues and enquiries from staff, students, and external stakeholders, judging if or when to involve others, in order to provide clear advice to colleagues and stakeholders.

• Prepare and analyse management information, including financial reports, KPI reports and project plans, recommending action where appropriate.

• Perform detailed analysis and manipulation of data or calculations, highlighting and prioritising any issues for further investigation and preparing reports to support decision making.

• Research, collate, organise and prepare materials for inclusion in reports and documents and to present to audiences as appropriate.

• Act as a filter for issues referred to senior colleagues, undertaking delegated responsibilities where appropriate, to provide immediate support and problem resolution.

• Plan and prioritise own work activities for the months ahead to maximise operational efficiency and to ensure that all tasks are completed to meet internal and external deadlines. Respond to new pressures, including those arising from non- standard work and to adjust priorities as needed.

• Support the Chief Operations Director in the resource planning process to ensure that finances are appropriately and efficiently managed.

• To undertake a range of administrative tasks including diary management, planning, and booking of meetings and travel, expenses management, invoice and credit card recording and processing, administrative support for recruitment, induction, and maintaining staff training records for audit and tracking purposes.

• Actively participate in projects as required.

• Liaison, communication, and relationship building professional services, to ensure effective working practices exist which support the facilitation and coordination of service delivery in partnership.

• Work closely with shared service arrangements through the College’s parent organization: the College of Law Australia, to ensure effective working practices exist which support the facilitation and coordination of service delivery in partnership.

 

Salary: £30,000 per annum

Working Hours: 35 hours per week, Monday to Friday

Holiday Entitlement: 28 days plus statutory holidays

Pension Arrangements: 8% pension contribution and salary sacrifice scheme

Probation Period: 6 months

Notice Period: 3 months after probation
